Exhibitors Regulations
1. General provisions.
1.1 The provisions of these regulations apply to all Participants of the Fair organized by Loud Production Sp. z o. o. and constitute an integral part of the Application Form – Agreement.
2. Terms of participation
2.1. The Exhibitor undertakes to read and comply with the requirements of these Regulations. Participation in the Fair is tantamount to acceptance of these Regulations throughout the duration of the Fair.
2.2. The basis for participation in the Fair is a properly completed REGISTRATION CARD form constituting an exhibition space rental agreement (Agreement) specifying the size of the ordered space, making an advance payment of 50% of the amount due and settling the entire amount due under the Agreement and its attachments by January 31, 2023.
2.3. Completed forms together with proofs of payment should be sent to the Loud Production Fair Office at the e-mail address kustom@loudprod.pl
2.4. The deadline for accepting applications and orders expires on January 31, 2023. After this date, applications and orders may be accepted after prior arrangement with the Organizer.
2.5. The Organizer reserves the right to withdraw from the contract if the Exhibitor fails to meet the conditions set out in point 3 of these Regulations. In such a case, the settlement rules are based on the rules set out in the Agreement.
3. Payment Terms and Dates
3.1. The fee for renting the exhibition space and additional benefits specified in the APPLICATION FORM should be paid to the accounts of Loud Production Sp. z o. o.
3.2. An advance payment of 50% of the total amount due must be made within 7 days from the date of notification (REGISTRATION FORM).
3.3. The full amount of the amount due under the concluded Agreement (application card) including VAT by January 31st, 2023 (in accordance with the payment terms contained in the application-agreement card).
3.4. In order to secure the payment for the rental and additional benefits, the Organizer has a statutory pledge on the Exhibitor’s movables brought into the Fairgrounds. By signing the Agreement, the Exhibitor declares that the exhibits brought by him to the fairgrounds are his property and as such may be pledged.
3.5. Invoices are issued by the Organizer within 7 days of receipt of payment on the bank account. Pro-forma invoices will be issued if necessary.
4. VAT tax
4.1. Services offered by the Organizer are subject to 23% VAT. All prices given in the forms are net prices.
5. Changes, resignation from participation.
5.1. Any changes regarding participation in the Event and resignations should be submitted in writing (by an e-mail) within 7 days from the date of signing the contract, i.e. sending the completed application form. After this date, resignation from participation causes that the entire amount due for renting the space with equipment becomes a contractual penalty due to the Organizer for resignation from participation in the Event. Failure to participate in the event for other reasons, despite the lack of a formal resignation, also entitles the Organizer to charge a contractual penalty equal to the value of the fee for renting the space with equipment.
6. Badges
6.1. In the price of the purchased built-up or undeveloped space, the Exhibitor is entitled to free ID badges in the amounts determined by the Organizer.
6.2. The Exhibitor may order payable badges from the Organizer at the net price of 30 PLN/pcs.
7. Obligations of the Organizer
7.1. The organizer undertakes:
Book a stand in the size ordered by the Exhibitor (minimum area is 4m2).
Arrange the stands in accordance with the order and possibilities of the Organizer.
Provide a same artistic setting for the Event.
Hand over the Exhibitor’s stand on the day preceding the beginning of the Fair from 6:00 p.m.
Ensure law and order during the Event.
8. Obligations of the Exhibitor
8.1. It is obligatory for the Exhibitor to include a basic entry in the Fair Catalogue.
8.2. The functional solution of the stand, its equipment and visual setting should be agreed with the Organizer.
8.3. A change in the concept of stand development made by the Exhibitor requires a written notification at least one week in advance from the date of opening the Fair.
8.4. The Exhibitor is obliged to stay at the stand during the opening hours of the Fair for Visitors.
8.5. After the end of the Fair, the stand must be handed over.
8.6. The Exhibitor may not promote goods at the Fair, the use of which is prohibited by law, or promote himself or his stands in a manner commonly accepted as vulgar, infringing human dignity, in a manner referring to symbols prohibited by law, slandering ethnic, religious or sexual minorities, promoting violence, prohibited behavior, prohibited substances, etc. In the event of non-compliance with the requirements, the Organizer reserves the right to remove the Exhibitor from the fairgrounds without reimbursement of the costs of participation in the Fair itself and other costs incurred by the Exhibitor and lost benefits.
8.7. It is forbidden to place advertising materials outside the stand and to distribute advertising materials of companies that are not participants of the Fair without the Organizer’s consent.
8.8. The stand may be subleased by the Exhibitor to another person or company only with the Organiser’s written consent.
9. Stand
9.1. The ordered exhibition space is intended solely for the Exhibitor.
9.2. Acceptance of an order for a stand with specific dimensions is conditioned by the order of applications, space availability and the general concept of the exhibition.
9.3. The location of the stand results from the arrangements made between the Exhibitor and the Organizer and the design of the exhibition space development and the technical conditions of the Fairgrounds.
9.4. The Organizer reserves the right to change the location of the stand/area ordered by the Exhibitor.
9.5. The Organizer will make every effort to inform the Exhibitor about the changes in advance.
9.6. At the Exhibitor’s request, the Organizer will send a stand arrangement plan.
9.7. In the case of building a stand using its own materials, the Exhibitor must have the necessary fire safety certificates and present them to the Organizer before starting the construction of the stand. Failure to comply with this obligation entitled to order removal of the stand at the Exhibitor’s expense and risk. In such a case, the Exhibitor is not entitled to reimbursement of any amounts due both under the Agreement and other expenses incurred by him in connection with the Fair.
9.8. Repair of damage or change of stand decoration may be made after the closing of the event and with the Organizer’s consent.
9.9. The external walls of the stand are the responsibility of the Organizer.
9.10. The organizer reserves the right to place elements of general information and infrastructure on the stand area.
9.11. It is forbidden to place exhibits or advertising materials on the walls of the stand using a technique that will cause permanent damage to the walls (e.g. drilling through the wall, driving nails). In the event of such damage, the Organizer will charge the Exhibitor with additional costs.
9.12. In the event of damage or loss of stand equipment, the Exhibitor shall pay the Organizer twice the value of this item, and in the event of causing other damage, the Organizer may claim compensation up to the amount of the damage.
10. Transportation
10.1. Transport, reloading and unpacking, assembling and disassembling, packing and loading of exhibits and other materials for the Event are performed by the Exhibitor at its expense and risk.
11. Insurance and Protection
11.1. The exhibitor insures the exhibits and property on the stand area at his own expense and risk.
11.2. The organizer is not responsible for accidents of people and damage to exhibits before, after and during the event. It is strongly recommended that the Exhibitor take out appropriate insurance. The Organizer is not responsible for property brought to the Fair area and does not provide protection or insurance in this respect.
11.3. The organizer is not responsible for damages caused by force majeure.
11.4. The Exhibitor is obliged to immediately report the damage to the Organizer.
11.5. The Organizer provides protection of the exhibition grounds from 30 minutes after the end of the Fair to 30 minutes before the start of the Fair. The security company does not supervise the stands during the opening hours of the Fair and the time of their arrangement and disassembly by the Exhibitors.
12. Electricity and fire protection
12.1. Electrical and installation works are carried out only by the Organizer’s services.
12.2. It is forbidden to:
– smoking and using open fire outside the designated areas,
– displaying electrical devices at a distance of less than 60 cm from materials, flammable materials and 30 cm from flame-retardant materials and devices isolated from combustible substrate,
– using a damaged or makeshift electrical installation, leaving unattended devices adapted to the power supply connected to the mains continuous operation,
– bringing chemical substances, fire-hazardous substances prohibited in trade, alcohol, weapons and dangerous tools to the exhibition grounds block access roads and access roads to fire-fighting devices and block evacuation passages and exits, use fire-fighting equipment for other purposes.
13. Order regulations
13.1. The exhibits may not be placed in the communication routes adjacent to the stand, and the shows may not hinder or prevent the safe movement of the Exhibitors and the public.
13.2. The Exhibitor is obliged to deliver exhibits and advertising materials to the Fair area no later than by 6.00 pm on the day before the Fair begins.
13.3. Liquidation of the exhibition may not take place before closing the Fair for visitors, on the day of its completion, but not later than by 24:00.
14. Complaints and claims
14.1. Complaints of Exhibitors should be reported in writing to the Organizer:
– complaints regarding the technical condition and location at the time of acceptance of the stand,
– other complaints within 7 days from the end of the event.
14.2. After the deadline, no complaints will be considered.
14.3. Oral agreement between the participants of the event and the Organizer’s representative and all decisions and statements require immediate written confirmation.
14.4. Signing the Agreement and accepting the Regulations replaces all verbal ones prior arrangements of the Exhibitor and the Organizer, if any.
15. Final Provisions and Notes
The application form is treated as an agreement concluded between the Organize andr
Fair Exhibitor.
15.2 In matters not regulated in the Agreement and the Regulations, I will applicable provisions of the Civil Code.
The Organizer has the right to postpone the date of the Fair or cancel it in whole or in part in the event of circumstances beyond its control – without incurring financial consequences. In particular, circumstances beyond the Organizer’s control include the introduction of provisions of laws and regulations, acts of local law that prevent or significantly hinder the organization or conduct of the Fair, pandemic-related sanctions, decisions of services or guards, alarms and other cases reported to the Organizer or relevant services that threaten to evacuation. In such cases, when the Fair is canceled or interrupted, the Exhibitors will not treat it as the Organiser’s responsibility and will not claim from him both the costs incurred directly or indirectly related to participation in the Fair, as well as lost profits. Any such liability of the Organizer is excluded
KUSTOMHEAD & TATOO SHOW TICKET RULES:
1. A single ticket entitles one person to enter.
2. The one-day ticket is valid for the entire day of the event. You can enter and leave the event area on the day of ticket purchase. A wristband with the date of the event entitles you to do so.
3. The two-day ticket is valid for the entire duration of the event. A wristband with a two-day pass is required to enter the event area.
4. A reduced ticket is available to students from the age of 13, students, pensioners, disabled people and their guardians. The relief is granted on the basis of a valid ID certifying the right to the relief.
5. Children under 12 years of age have free admission.
